Client: Starbucks Australia

Challenge: Inconsistent, manual and fragmented reporting processes, compounded by the impact of COVID-19 on store operations.

Approach: A Microsoft Azure data foundation platform, feeding a centralised Data Warehouse and reporting platform providing interactive operational Power BI reports, a Power App store management tool, and new sales, payroll and inventory dashboards.

Outcome: Automated integration and centralisation of multiple source systems (POS, Time and Attendance, Payroll), reduction in manual consolidation, daily operational reporting, optimised inventory and more informed decisions on pricing, promotions and ordering for Starbucks Australia’s leadership team.

They differentiate themselves through their extensive beverage menu, commitment to quality and sustainability, and the overall Starbucks brand image. They have a strong presence, a loyal customer base, and a commitment to innovation and growth.

The Challenge

Starbucks Australia was in it’s early stages of a transformation across its data, reporting, forecasting and analytics space. Some challenges identified though initial analysis by key stakeholders uncovered:

  • Inconsistencies in how business performance is measured,
  • Manual processes to extract, transform and present the data to consumers,
  • Fragmented view of business data, and
  • A disconnect between presented data and its ability to impact business operations and decisions.

An opportunity was identified to automate key reporting and streamline delivery of insights to consumers in business units, designed to reduce overheads in data delivery, reduce time-to-insight, and improve decision making across Starbucks.

The impact of COVID-19 was a significant challenge for Starbucks with many stores impacted by government restrictions. In navigating through these times, Starbucks partnered with Revenite to build their business intelligence capability to assist with automation of a data and analytics platform to assist with business decisions to drive profitability and growth into the future.

The Approach

The Revenite team built a data foundation platform in Microsoft Azure to support following

  • Secure and encrypted channel for data transfer was established with third party database and API based source systems
  • Data integration of multiple core systems including Time and Attendance, POS Transactions, Sales Inventory and Payroll
  • Automated and configurable low to no code integration engine providing an easy to use framework to integrate source data from various systems.
  • Data Lake utilised to store structured and semi structured data, retained in a centralised location.
  • SQL Warehouse developed bringing the varied data from the Lakehouse together into a centralised and structured relational model for data analytics and reporting
  • Power App Business Application developed to provide a user interface enabling write back capabilities to the central warehouse for reference data amendments across Store Location(district, store type, store status), Discount Group(discount types assigned to menu flows), Product(product status, campaign assignment), Pay Code(create or update pay codes and associated groups)

A centralised Power BI Model was built based on entities within the SQL Warehouse. The definitions of performance KPIs were calculated in measures built in the model to serve following dashboards

  • Sales margin dashboard to inform CFO & CEO about the sales performance (Net & Gross Margin) against budgeted metrics at product, product category, store, and statewide levels.
  • A prototype of payroll reporting was established by conducting workshops and whiteboarding sessions. The reports were built using prototype to project sales performance across stores and relate it with staff rosters and actual staff attendance. The reports determined labour cost per hour and per item and reflected interesting insights related to staff performance at various in shop and drive through stores.
  • Inventory and Supply chain prototype was established to project “stock in hand”, “stock to sales ratio”, “sales revenue”, “revenue per unit” and “cost per unit” KPIs. Reports built using this prototype helped store managers in tracking inventories, avoiding stock outs and reducing excess inventory leading to lost sales. The leadership team including CFO & CEO were not only able to view sales by product categories and location but also were able to improve cashflow and optimize inventory. They were able to make informed decisions about pricing, promotions and ordering of products to achieve sales targets.

The Outcome

Revenite helped Starbucks Australia establish a modern cloud-based data & analytics platform that created a single, trusted view of business performance. By automating integration from multiple source systems and reporting and consolidating sales, margin, labour, inventory and supply chain data, Starbucks gained timely executive visibility into the drivers of profitability and operational performance.

This enabled faster decision making, improved inventory and labour optimisation, stronger cashflow management, and more effective pricing, promotion and ordering decisions. The platform not only addressed immediate reporting challenges but also provided a scalable foundation for ongoing performance improvement and future growth.
